Privacy Policy

1. Information We Collect

LFG Hub Bot collects only the minimum data required to provide matchmaking, presence-based recommendations, and analytics.

1.1 Discord User Information

When you interact with the Bot, we may store:

• Discord User ID
• Display name
• Server nickname

This data is provided via Discord's official API (discord.js).

1.2 User-Provided Profile Information

We may ask users to voluntarily provide additional information used only for matchmaking and filtering, including:

• Age or age range
• Region / timezone
• Gaming platform (e.g. PC, PlayStation, Xbox, Mobile)
• Preferred language(s)

This information is:

• Explicitly provided by the user
• Editable by the user
• Not inferred or enriched from external sources

1.3 Presence & Activity Data

We store Discord presence and activity signals, including outside of direct LFG Hub interactions, such as:

• When a user starts or stops playing a game
• Game or application identifiers exposed by Discord Presence
• Timestamps related to presence changes

This enables:

• Presence-based LFG discovery
• Automatic recommendations
• Real-time matchmaking features

Presence and activity data is retained for up to 30 days, after which it is automatically deleted. Users can opt out of game activity data collection at any time via the notification settings panel in any LFG channel.

1.4 LFG Channel Messages

In channels a server administrator has explicitly configured as LFG channels, we read the content of messages in order to turn them into structured LFG posts. From each message we keep only:

• The structured options we extract from it (game, platform, group size, and similar)
• A short note, sanitized of mentions, links and formatting and truncated to a fixed length

The message itself is not archived. Once the LFG post is created, the Bot removes the original message from the channel.

Beyond configured LFG channels, the Bot also reads messages in the group chats it creates for each group and in the server's reports channel, for running the group and handling reports. We do not read or store:

• Messages in any other channel on your server
• Direct messages between members
• Messages sent before a channel was configured for LFG

Where a report is submitted, moderators of that server may generate a transcript of the reported group's own thread. The transcript is delivered to that server's moderation channel and is not retained by us.

1.5 Discord Sign-In and Email Address (optional)

We do not have your email address unless you choose to sign in with Discord. Using the Bot on a Discord server never gives us your email, and we cannot obtain it through Discord's API from your membership, messages, or presence. The only way we ever receive it is if you sign in and approve the request yourself.

Signing in is optional and always something you start. You may be offered it:

• On our website, when you press Join on a group or server and want us to put you into that Discord server in one step
• Occasionally from within Discord — for example when joining a group hosted on another server through the LFG Network. This is never automatic and never required to keep using the Bot

If, and only if, you complete that sign-in, we store:

• Your email address, as provided by Discord
• Your Discord username, display name, and avatar
• An access token and a refresh token, encrypted at rest, which let us add you to a Discord server when you ask us to
• The game accounts you linked to Discord under Connections (Steam, Battle.net, Riot Games, Epic Games, Xbox, PlayStation, Roblox, Bungie): each one's name and id, and whether Discord confirmed it. We use them only to suggest your gamertag in a game. We do not keep your other connections, and we read them again only when you sign in

The permissions you grant at that screen are limited to identifying you, your email address, the accounts you linked to Discord, and adding you to servers on your request. They do not allow us to read your messages, see your other servers, act as you, or remove you from anywhere.

You can disconnect at any time — from Settings on our website, or from Authorized Apps in your own Discord settings. Doing so deletes the tokens and the email address we hold; deleting your data also deletes your game accounts. Members who never sign in are unaffected by all of the above.

1.6 LFG & Co-Play Data

To operate LFG features, we store:

• When a user creates or joins an LFG session
• Which other users participated in the same session (co-play relationships)
• Server and channel identifiers related to LFG activity

1.7 This Website: Sign-In and Analytics

lfghub.gg uses Google Analytics 4 to count visits and see which pages and buttons are used. Google processes this data for us; we do not use it for advertising or combine it with the data the Bot stores. In the EU, the EEA, the UK and Switzerland, analytics cookies are set only if you accept them in the cookie bar; elsewhere they are on by default and can be turned off with Cookie settings in the footer. If you sign in with Discord, a cookie keeps you signed in. The Cookie Policy lists every cookie the site sets and how to opt out.

2. Data We Do Not Collect

LFG Hub Bot does not collect:

• Message content from anywhere other than the LFG channels a server administrator has configured (see section 1.4)
• Direct messages between members
• Email addresses of members who have not signed in with Discord. We have no access to them — see section 1.5
• Voice audio or recordings
• Friends lists
• Real-world location data
• Data from outside Discord's official APIs

3. How We Use Your Data

We use collected data solely to:

• Create and manage LFG sessions
• Match users based on preferences and availability
• Enable presence-based LFG recommendations
• Add you to a Discord server when you ask us to, if you have signed in with Discord
• Improve Bot functionality and reliability
• Provide aggregated, non-identifiable analytics to server owners

We do not use data for targeted advertising or sell personal data.

4. Data Sharing

We do not sell, rent, or trade personal data. Data may be shared only:

• With Discord, as required for bot operation
• When legally required (e.g. lawful requests)
• In aggregated or anonymized form that cannot identify individuals

5. Data Retention

We retain personal data only as long as necessary to provide LFG Hub services.

• Presence and activity data is automatically deleted after 30 days
• LFG channel messages are not archived; the note extracted from one is kept with the member's saved preferences until they change it
• If you signed in with Discord, your email address and the authorization tokens are kept until you disconnect or delete them, and are removed immediately when you do; your game accounts are replaced at each sign-in and removed when you delete your data
• Inactive user data may be deleted
• Aggregated analytics may be retained longer
• Users may request deletion of their personal data at any time

6. User Rights (GDPR & Similar Laws)

Depending on your jurisdiction, you may have the right to:

• Access the data we store about you
• Correct inaccurate or outdated data
• Request deletion of your personal data
• Restrict or object to certain processing
• Delete your personal data yourself, at any time, from Settings on our website if you have signed in with Discord — or by request via the official LFG Hub Discord server
• Opt out of game activity data collection via the notification settings panel in any LFG channel

What a deletion removes, and what it does not. Deleting your data removes everything that identifies you: your username, display name, avatar, email address, the Discord authorization, your game accounts, your saved preferences and filters, and your notification settings.

Moderation reports about you and commendations other players gave you are kept, and stay linked to your Discord account. They belong to the servers and members who created them, and a report that could be erased by the person it concerns would be worth nothing — so deleting your data does not reset your reputation, and signing in again reconnects the same account. Records of servers you joined through the LFG Network are kept too, but detached from you, so a server's own totals stay correct while no longer naming anyone. These records belong to the servers and members who created them, and keeping them is what prevents a report being erased by the person it concerns. Signing in again afterwards starts a new, empty profile.

7. Data Security

We use reasonable technical and organizational safeguards, including:

• Restricted internal access
• Secure databases and infrastructure
• Least-privilege access controls
• Discord authorization tokens encrypted at rest, so that database access alone does not permit their use

While no system is completely secure, we actively work to protect user data.

8. Children's Privacy

LFG Hub Bot is not intended for users under Discord's minimum age requirement. We do not knowingly collect data from minors.

9. Changes to This Policy

This Privacy Policy may be updated periodically. Material changes will be communicated through:

• Bot updates
• Our website
• Official LFG Hub communication channels

10. Contact

Privacy questions and data requests are handled through the official LFG Hub support server. We ask you to contact us there rather than by email so that we can confirm a request comes from the Discord account it concerns before acting on it. You can also delete your data yourself: sign in with Discord and use your profile.
